1. Bookings & Payments
- A booking is confirmed once:
- An enquiry has been accepted by Canvas Collective, and
- A booking deposit has been paid.
- The remaining balance must be paid no later than 14 days prior to the hire date, unless otherwise agreed in writing.
3. Canvas Collective reserves the right to cancel a booking if payment deadlines are not met.
2. Security Deposit
A refundable security deposit is required for all bookings.
The security deposit is 15% of the total booking value, with a minimum of £75 and a maximum of £250 per booking.
The security deposit is payable 7–14 days prior to the hire date.
The deposit will be refunded within 7 days following the end of the hire period, subject to inspection of the tents and equipment.
Deductions may be made for:
Damage beyond fair wear and tear
Missing or damaged items
Excessive cleaning required
Smoking inside tents
6. Fair wear and tear includes light dirt, creasing of canvas, or minor marks consistent with normal use.
3. Cancellations
- If you cancel your booking:
- More than 30 days before the hire date: booking deposit refunded minus an administration fee
- 14–30 days before the hire date: booking deposit non-refundable
- Less than 14 days before the hire date: full booking value payable
2. In the unlikely event Canvas Collective must cancel due to circumstances beyond our control, all payments will be refunded in full.
4. Weather Conditions
- Bell tents are designed for outdoor use and suitable for typical UK weather conditions.
- Bookings will not be cancelled due to adverse weather unless conditions are deemed unsafe.

5. Site Requirements
- A flat grass area must be provided for tent pitching.
- Adequate access must be available for delivery and setup.
- You must inform us of:
- Underground utilities, irrigation systems, or services
- Any access restrictions
4. Canvas Collective accepts no responsibility for damage to underground services where this information has not been disclosed.
6. Setup & Takedown
- The Canvas Collective will set up and dismantle the tents at agreed times.
- You or a nominated representative must be available on site during setup if required.
- Tents must not be moved, altered, or dismantled once pitched.
Please note: We may bring our dog with us during setup and takedown. We kindly ask that you inform us of any pet-related allergies or concerns in advance.
7. Care of Equipment
- You are responsible for the tents and contents during the hire period.
- The following are strictly prohibited inside tents:
- Smoking
- Naked flames
- Cooking equipment
3. Shoes, food, and drink should be kept to a minimum inside tents.
4. Any damage or issues must be reported immediately.
8. Responsibility & Liability
- Canvas Collective accepts no responsibility for:
- Personal injury during the hire period
- Loss or damage to personal belongings
2. Children must be supervised at all times.
3. Use of the tents is entirely at your own risk.
9. Public Spaces & Venues
- If the hire takes place at a venue or campsite, you are responsible for:
- Obtaining permission
- Ensuring compliance with venue rules
2. Canvas Collective reserves the right to refuse setup if conditions are unsafe or unsuitable.
10. Force Majeure
Canvas Collective shall not be liable for failure to fulfil obligations due to events beyond our reasonable control, including but not limited to extreme weather, fire, flooding, or government restrictions.
11. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
